A Beginners Guide to using AI in your business safely

AI is a must to keep up with other small businesses

It may feel like you are slowly falling behind if you are not using AI in your day to day business. Whether you are a solicitors looking to streamline the creation of legal documents, or whether you are a designer looking for inspiration or help with the legwork to get your design completed.

Many small business owners are hesitant as the risks are not clear, and niether is the potential damage you could do with such a powerful tool. It’s natural for any business owner to be risk averse, so lets dive into the best way to start safely.

The best place to start is to use an AI that is native to the systems you already use. You may find an AI built into design software you use such as Adobe, or in our case our IT helpdesk software. This is the safest place to start as the AI will almost always be confined to your tenancy, and your data within their software. Feel free to call upon the support your receive with your software, to ensure the AI will not modify your existing data or share your data outside your tenancy. This won’t cost you anything, won’t take long to confirm, and a good IT support firm can assist you with this.

If you are using Microsoft 365, start with Microsoft Copilot. I assume you have a business Microsoft subscription (if you are using a home account then there are so many reasons to move to business – you need to get in touch with us at info@liberateit.co.uk). When logged in with a business account any interactions with CoPilot are confined to your Microsoft 365 tennacy, so your data will not leave your account.

For example in Microsoft Edge, ensure you are logged in with your business account by clicking the small ‘person’ icon in the top right and check the email address you are logged in with is your business one. Then just type copilot in the address bar or click the copilot button in the browser to start chatting. You can safely discuss business matters and upload data to your chat session. I would always recommend anonymising any personally identifiable information as per GDPR guidance before uploading or pasting any data.

You can have muliple conversations active at any time, and close and re-open a particular conversation. As the business owner of Liberate IT Support I find it helpful to have one conversations around finance, one around leadership, one around technical direction etc. As the AI gets to know you within these conversations, it will become faster and easier to get the answer or information you want.

Once you are comfortable talking to Copilot within the confines of an isolated conversation you can start interacting through the built in copilot button in Word, Excel and Outlook. Do be careful of what you prompt if you don’t want copilot to have access to all your information through that application.

For example if you as copilot in Outlook “Can you see all my emails?” if will go ahead and assume you want it to see all your emails, then ask what would you like to know about your emails. It is just trying to be helpful but this can be alarming if you do value your privacy. Again rest assured that as you are logged in to Word/Excel/Outlook with your business account that the data copilot accesses stays in your tenancy and copilot cannot share this outside your copilot session.
